These are the minutes of the Sambão Board of Directors meeting
held at the
Mountain View Recreation Center, Wednesday June 26, 2002, from 9:15
to 9:45 PM.

Glenn called the meeting to order at 9:15 PM. The minutes of the
previous
meeting were not presented because they had been distributed earlier
via email
and by posting on Sambão's web site. They were accepted
as posted; the post
included a correction to the date of the next meeting.
Continuing a theme (not exactly "business") from the previous meeting,
Glenn
noted that we need to define Sambão's performing dance troupe,
at the same
level as the Bateria but distinct from the membership at large.
This would
be a special role, akin to Bateria member. We did not come to
any agreement
on the proper name for this role ("Sambista?").
Old Business
1. Event coordinator
At the last meeting we had concluded that we needed a clear, agreed-upon
definition of the process for booking events. Brad distributed
hardcopy
drafts of a booking procedure that
he had developed, based on what he and
Nicole were already doing. This draft procedure, available as
a separate
document, refers to a "Gig Coordinator". As we do not currently
have any
one person playing this role for our entire organization, the best
we can
do for now is to have, for each event, one person (probably the one
who
identified the event) act as Gig Coordinator for that event.
After a brief discussion, noting that municipal parades typically do
not
require such elaborate preparation as the S.F. Carnaval or a stage
show,
the draft was approved, and this item was carried over to the next
meeting
with the understanding that Brad will finalize the procedure and distribute
it, possibly by posting it to our web site.
2. Morale building
At the last meeting, we had tentatively decided on the second Friday
of each month, beginning July 12, 2002, for a gathering at C.R.E. Uniao
Brasileira, 260 North 27th Street, San Jose. The consensus at
this
meeting was that no one has the time available over the next two weeks
to pull the first event together by that date, so the date was slipped
a week, to July 19, 2002. Brad expressed the view that someone
who
speaks Portuguese (other than Cristina, since this is not her issue)
would be ideal as our liaison to C.R.E. Uniao, and took the action
item
to arrange the contact.
New Business
1. Financial status and goals
Glenn gave us an overview of our financial status. We are solvent.
Cristina has been paid for the work she did in behalf of our S.F.
Carnaval 2002 appearance. The bank has mislaid our signature
card
and that is delaying having people other than Glenn become signatories
on the account.
Glenn suggested a goal of having a year's "feed forward" in the bank,
i.e. enough reserve funding to cover a year's worth of expenses even
if our normal sources of funds should dry up.
2. Upcoming events
Christelle has tentatively entered Sambão in the Redwood City
Independence
Day parade. She turned over the paperwork to Brad so that, as
Musical
Director, he could determine whether the Bateria can make the July
4th
event. He will poll his class tomorrow evening, June 27, 2002.
Christelle
told us that the event organizers she had spoken with said that we
could
commit or drop out as late as the day before the event, i.e. Wednesday
July 3, so our shortage of lead time is not as bad as it might appear.
Another tentative event will occur in Big Basin on Saturday, July 21,
2002.
This seems to be primarily a Sambosseros gig, and Sambão's role
is not clear.
3. Guidelines for cooperation with other groups
This item came up in connection with Mission Cultural Center and
"Energio da Samba". Due to shortage of time, discussion of it
was
postponed to the next meeting.
Next Meeting
We agreed to meet againat the Mountain View Recreation Center next Wednesday,
July 3, 2002, at 8:30 PM.
