Sambão Board Meeting, Sept. 4, 2002

These are the minutes of the Sambão Board of Directors meeting
held at Brad Hamilton's house in San Jose, Wednesday Sept. 4,
2002, from 8:50 to 9:50 PM.
 

Present were:

Ted Syrett
 

In Glenn's absence, Ted called the meeting to order at 8:50 PM.
The minutes of the previous meeting had been distributed earlier
that evening via email, so were not yet posted on Sambão's web
site.  Printed copies were presented, reviewed and accepted.
 
 

Old Business
 

 1.  Event coordinator
 

Further discussion of this topic was deferred to the next
meeting, which we hope will be better attended.
 
 

 2.  C.R.E. União Brasileira events (formerly "morale building")
 

We still need volunteers to staff the doors and do publicity
for the two upcoming gigs in October.  At the prior meeting,
Behfar had expressed an interest in obtaining materials from
Craig and helping with publicity, but since neither of them
were present we could not say how far along this effort was.
 

 3.  Upcoming events
 

Brad requested that the minutes highlight the fact that
the date of Saturday Sept. 28 for the Cañada College Olive
and Arts Festival is a recent change from the previously-
posted date (Sept. 29).  When planning their calendars,
Sambão members should check the Bateria's schedule page.
 
 

 4.  Financial matters
 

There was some more review and discussion of the ledger
(apparently, a spreadsheet printout) that Glenn distrib-
uted at the previous meeting.  Some questions arose, and
led to the consensus that we would like a brief financial
summary, most appropriately from the Treasurer, available
for review at each meeting.  Brad observed that our fin-
ancial condition should not be as dire as it seemed at
the prior meeting, since we have in hand $300 from the
Britt Huber party and our $100 prize from the Redwood
City July 4 parade, as well as $200 expected from the
Redwood City festival.
 
 

 5.  Guidelines for cooperation with other groups
 

This item was held over for discussion at the next meeting.
 
 

 6.  Sambão legacy references on BCA's web site
 

Ted still has the action item to follow up with Beicola
on this, but has been distracted by a family emergency
(his aunt's surgery) in August.  He will pursue this as
time permits.
 
 

 7.  Navigation of our web site
 

In consideration of the impact of Cristina's current per-
sonal issues on her time, Brad volunteered to substitute
"sambao@musicishealing.com" for "cris_rib@yahoo.com" as
our primary contact on gigs (the link at the bottom of
the "About" page on the Sambão web site).
 

 8.  A place for awards
 

Ted still has the action item to follow up with the Mtn.
View Rec. Dept. about a suitable place to display Sambão's
awards.  This discussion should take place next week.
 
 

 9.  S.F. Carnaval 2002 awards ceremony
 

Nothing new to report.
 
 

10.  Grant requests
 

Nothing new to report.

Next Meeting[s]
 

Details of upcoming gigs will be worked out in brief,
impromptu meetings at, or after, the Wednesday evening
rehearsals which are now back on track, starting with
Wednesday Sept. 11.
 

The next Sambão board meeting will be a dinner meeting
at Joao's Restaurant, 57 Washingon Street, Santa Clara,
at 6:30PM Saturday October 19.
