These are the minutes of the Sambão Board of Directors meeting
held at the
Mountain View Recreation Center, Wednesday June 19, 2002, from 8:45
to 9:45 PM.

Glenn called the meeting to order at 8:45 PM. The minutes of the
previous
meeting were not presented because the current meeting had been called
as
a general meeting of the Sambão membership rather than as a
board meeting.
In view of the limited turnout, the group decided by consensus to conduct
the meeting as a board meeting.
Old Business
Since this was a revival of a long-dormant Sambão board, there
was no
formal "old business". Glenn set the theme by stating the need
to clarify
and better define our organization. We currently have:
o Officers, as defined by corporate paperwork
filed with
the State of California:
- Glenn
Evans, President
- Craig
Lawson, Treasurer
- Ted
Syrett, Secretary
o A Board of Directors, defined in practice
as those members
who regularly attend board meetings
o Current members, defined as people who have
filled in a registration
form and paid the $10 membership
fee within the past year
o Former members, defined as people who previously
participated in
Sambão activities but who
have not filled in a registration form
and paid the $10 membership fee
within the past year
On our web site, Brad Hamilton is listed as Bateria Director, and
Cristina Ribiero is listed as Choreographer & Artistic Director
of
Sambão. Both Brad and Cristina have asked for clarification
of the
organization's goals, plans and intentions for the rest of this year.
New Business
1. Event Coordinator
Glenn pointed out a need which was echoed and discussed by others,
namely for an individual (or at least a clearly-defined process) to
serve as event coordinator. Jo Ann and Brad both expressed regret
for the missed opportunity of the Willow Glen show on June 16; this
showed how things can go wrong when we improvise arrangements.
[We
might not have been able to participate, but at least we should have
been able to tell the event's organizers so, well in advance.]
Ted reviewed the status of our relationship with Cynthia Handy.
She
would like to represent Sambão for booking at upcoming events,
on a
commission basis. To do so, she would need to meet with our officers
(or an appropriate committee) to present her way of doing business
and tell us what she needs from us. In general, she would need
to
know what our criteria are for accepting shows, parades, private parties
etc., and what we can bring to such events.
In the ensuing discussion it became clear that, even if we reached an
agreement with Cynthia, we would still need an event coordinator.
In
fact, that person would be Cynthia's primary contact point for deter-
mining the feasibility of a particular date. So setting a meeting
with
Cynthia was seen as a lower priority than solving the event-coordinator
problem.
Brad pointed out that he is already acting, in effect, as event
coordinator for the Bateria only. Nicole volunteered to take
on
the corresponding role of event coordinator for the dancers.
This
leaves Glenn as the primary contact for all issues not clearly in
the realm of either the Sambistas or the Bateria.
In view of time constraints, the discussion moved on without a formal
definition of the new process being stated.
2. Morale Building
Jo Ann expressed the sense of many in attendance that we were "spent"
after the great effort some of us put into our success at San Francisco
Carnaval 2002. She suggested that we have a party once a month
for
team-building and morale-building purposes. [Secretary's note:
you
can tell we're mostly not Brazilians here; they don't need to ponder
and reflect before deciding to throw a party!]
This suggestion led to a digression into fund-raising, but the outcome
seemed to be that fund-raising was a separate issue. The monthly
events
should provide:
o A regular monthly date that we can mark on
our calendars
o A chance to hold business meetings (come
early)
o A chance to party, unwind and have fun (stay
late)
The best time for such events was agreed to be Friday nights, since
people can get away from work a bit earlier then, and a site would
be easier to obtain for Fridays than for Saturday nights. People's
schedule conflicts and the long Independence Day weekend led to the
conclusion that the earliest date we could realistically set would
be July 12. This raises the possibility of saying "Sambão
will party
on the second Friday night of each month."
Further discussion of this possibility was carried over to the next
meeting. The site we have in mind is C.R.E. Uniao Brasileira,

North 27th Street, San Jose (the same place we held our pre-Carnaval
fundraiser).
3. Recognition
Jo Ann also pointed out the need for "official" recognition, perhaps
in
the form of an awards ceremony, for those who went above and beyond
the
call to produce our marvellous showing at San Francisco Carnaval 2002.
After Ken had had to leave early, Brad suggested that we should send
Ken a letter of thanks for all his contributions to Sambão over
the years.
Next Meeting
Scheduling the next meeting turned out to be difficult, because most
people present are already devoting Wednesday and Thursday evenings
to classes and/or rehearsals connected with Sambão. We
finally decided
to ask Cristina to end her rehearsal next Thursday evening early enough
that we might meet again at 9:15 PM at the Mountain View Recreation
Center, even though we would have only half an hour.
